Overview
Editable Invoice Template for Freelancers is an editable invoice template for freelancers who bill by the hour or by the project: log your time, and the invoice adds up the hours, expenses, tax and balance due for you. Three focused files, each in four languages.
What is in the ZIP (per language)
- 01-Hourly-Invoice-with-Time-Log.xlsx (Excel): an Invoice sheet with up to 6 services and hourly rates, hours pulled per service from the Time Log for the billing period, up to 4 expenses to reimburse, discount rate, tax rate (optionally on expenses), retainer received, balance due and due date (invoice date + payment terms). A Time Log sheet with 60 rows for date, service, task, start, end and break: hours are calculated, rounded up to your billing step (for example 15 minutes), and rows that are not billable or outside the period turn grey. - 02-Fixed-Price-Milestone-Invoice.xlsx (Excel): project fee, up to 8 milestones as a share of the fee with a status (Billed earlier, Bill now, Not yet) and a 100% check, up to 3 lines of extra work, tax, advance payment and balance due, plus a project billing box (billed earlier, this invoice, still to bill, % billed). - 03-Freelance-Invoice.docx (Word): the invoice as an editable Word document, plus a page with an email to send with the invoice, six reusable payment-term clauses and a checklist before sending.
Four languages
English/, Arabic/, French/ and Spanish/ folders hold the same three files, each written for its readers (TVA and Total TTC in French, IVA in Spanish). The Arabic files use right-to-left sheets and a right-to-left Word document with Western digits.
Built to be used
- Real formulas; input cells are shaded and formula cells are locked with sheet protection without a password.
- Drop-down lists for services, Yes/No and milestone status. Currency code cell shown in the headers and next to the balance due.
- Print areas set for A4 (each invoice on one page), with US Letter instructions in the README.
- Arial only, one violet accent colour that is easy to change, a "YOUR LOGO" placeholder. Plain .xlsx and .docx, no macros.

Requirements
Microsoft Excel and Word 2016 or later, Microsoft 365 (Windows or Mac), or LibreOffice 7 or later. The files can also be uploaded to Google Drive and opened with Google Sheets and Google Docs (see the compatibility notes). A PDF viewer for the preview files. No software is included in the package.
Compatibility

Installation

English/,Arabic/,French/orSpanish/. - Open a file in Excel or Word (or LibreOffice) and save a copy under your own name before editing.
- Look at
Preview/to see every page before you start. - Read
README.mdfor editing, logo, colour and printing tips.
User guide
- Fill in: type over the shaded cells; everything else is calculated.
- Hourly work: list your services and rates on the Invoice sheet, log each session on the Time Log sheet, then set the billing period.
- Billing step: set 'Round time up to (minutes)' to 15, 30 or 0 for exact time.
- Fixed price: enter the project fee and milestone shares, then set the milestones on this invoice to 'Bill now'.
- Next invoice: save a copy, change the invoice number and period (or milestone statuses).
- Change the layout: Review > Unprotect Sheet (no password), then protect again.
- Logo and colour: replace the YOUR LOGO box (Insert > Pictures); the violet accent (#6D28D9) is on titles, headers and the balance due.
- Print / PDF: print areas are set for A4; for Letter use Page Layout > Size > Letter.
